Repairs and Maintenance
Coast HOA will coordinate and oversee repairs and maintenance for the community’s common areas and shared amenities. This includes managing service requests from residents, hiring and supervising qualified and insured vendors for repairs, and conducting regular property inspections to identify maintenance needs. Coast will also handle the preparation and execution of a maintenance schedule, ensuring routine tasks like landscaping and pool upkeep are completed, which helps preserve property values and the community’s appearance. Acting as a central point of contact to ensure the physical assets of the association are well-maintained and in good working order.
Legal and Compliance
Coast HOA will help the association navigate the complex landscape of legal and compliance requirements. Assisting in enforcing the association’s governing documents, such as the CC&Rs (Covenants, Conditions, and Restrictions), by issuing violation notices and managing the dispute resolution process. Coast will also ensure the HOA operates in compliance with federal, state, and local laws, and will facilitate communication with legal counsel when necessary. Providing administrative support and guidance to help the board adhere to all applicable rules and regulations, thereby minimizing legal risks for the association.
Maintaining Records
Coast HOA provides essential records maintenance by systematically organizing and preserving all of the association's critical documents. This includes financial records, such as budgets and financial reports, as well as legal documents like the CC&Rs, bylaws, and meeting minutes. Coast also manages homeowner files, and keeps track of communications, architectural requests, and violation history. By maintaining these records, we ensure the HOA has a complete and accurate history, which is vital for transparency, legal compliance, and effective decision-making.
Contract Negotiation
Coast HOA assists the association in contract negotiation by sourcing and vetting qualified vendors for services like landscaping, maintenance, and security. Coast helps secure competitive bids and review service agreements to ensure the terms are favorable and align with the HOA’s needs and budget. Additionally, Coast acts as a liaison between the board and vendors, helping to finalize contracts and serving as a central point of contact throughout the duration of the agreement to ensure all terms are being met.
Facilitating Meetings
Coast HOA provides meeting facilitation services by organizing and preparing for association meetings, including board meetings and annual homeowner meetings. Coast is responsible for creating and distributing meeting agendas and ensuring all procedural requirements are followed. The management company’s role is to streamline the meeting process, providing the board with the necessary support to conduct productive and legally compliant meetings.
